Finance and Fundraising Director

General Description:

The Finance and Fundraising Director is responsible for the oversight of all fundraising activities that Wild Campus engages in, including management of the Grant Writer, the Sponsorship Coordinator, and the Wild Home Program Coordinator positions. The Finance and Fundraising Director will also be responsible for the management of all aspects of the organization’s finances, including handling requests from teams for funding, assisting them in acquiring other sources funding (Club Finance Council, etc), and keeping careful bookkeeping records.

Responsibilities of all Officers:

  • Key member of Executive Committee (1 hour weekly meeting).
  • Maintain list of people that you encounter to further expand Wild Campus’ network using the template provided in the Wild Torch document.

Responsibilities of the Finance and Fundraising Director:

  • Maintain careful records of all finances.
  • Manage a team of three positions, the Grant Writer, the Sponsorship Coordinator, and the Wild Home Program Coordinator positions (see position descriptions for details).
  • Interview and choose the individuals for the above positions.
  • Serve as liaison with your team’s Advisor(s).
  • Represent your team at Executive Committee meetings—especially in communicating any problems your team may be having and disseminate any information from the Executive Committee meetings to your Team Members.
  • Organize weekly team meetings and attempt to include everyone if possible.
  • Outline an Action Plan (template provided) for your team for the year and set the dates for the deadlines of the tasks outlined in your team’s Action Plan.
  • Enforce the deadlines that you have set.
  • Understand the importance of delegation of work and actively delegate.
  • Maintain organized digital documentation of your team’s activities as well as resources used during the year and regularly load them to the Smartsite.
  • Maintain list of people that your team encounters to further expand Wild Campus’ network using the template provided in the Wild Torch document.
  • Send a detailed update about your team’s activities to the Communication Coordinator every other Thursday by 5 pm.
  • Familiarize yourself with all of your Team Members’ various duties, and regularly check in on their progress and provide feedback (mostly positive).
  • Put all of your Team Members’ deadlines in your calendar and send reminders to them as the deadlines approach.

Qualifications:

  • Must be responsible and trustworthy.
  • Must be capable of maintaining simple bookkeeping records.
  • A genuine aspiration to change the world for the better.
  • A belief that individuals can make a difference, and that the difference is worth the effort.
  • Ability to delegate tasks in order to successfully carry out multiple projects.
  • Able to provide positive feedback regularly, and constructive criticism when necessary.
  • Punctual and reliable.
  • Actively seeks help from more knowledgeable sources and/or fellow members.


Timeline:

Fall Quarter:

  • Meet with the Executive Director to get a general sense of what you will be doing this year.
  • Meet with the Fundraising Advisor(s) and discuss upcoming year’s activities.
  • Attend the first officer’s meeting to discuss the upcoming year’s activities.
  • Attend any Executive Committee meetings (held throughout the year).
  • Interview and select the Fundraising Team Members to be brought on in mid Fall Quarter.
  • Participate in the Orientation Meeting, in which you will have a minor speaking part.
  • Hold first meeting with your Fundraising Team Members and create meeting schedule for rest of quarter.
  • Handle all of Wild Campus’ financial needs, including keeping careful bookkeeping records, which we will refer to as the Financial Report.
  • Continue scheduling and holding weekly meetings to check in on the progress of each of your Team Member’s various projects. Take notes so you can give an update at the next Executive Committee Meeting.

Winter Quarter:

  • Continue scheduling and holding weekly meetings to ensure proper progress is being made by your Team Members.
  • Continue managing Wild Campus’ finances, including keeping careful bookkeeping records.

Spring Quarter:

  • Continue scheduling and holding weekly meetings to ensure proper progress is being made by your Team Members.
  • Continue managing Wild Campus’ finances, including keeping careful bookkeeping records.
  • Turn in Wild Torch document (template provided) as your team’s final project.
  • Turn in the final Financial Report.
